Worldsport tour parties/persons are not covered·
For teams
whose travel insurance is being organised by Worldsport,
travel Insurance forms must be returned to the WS Office.
Every member of the tour party must complete a Toursafe
insurance application form. A parent or guardian must
sign the forms if the traveller is under 18 years of
age and the team manager must complete the travel insurance
Summary Form, ensuring all details match the information
on these forms.

The
name on the list must match the name on the passport/photo
ID exactly. Once the tickets have been issued penalties
apply (from the airlines!) for name changes and spelling
corrections however minor.
Groups travelling within Australia can provide a list
of passengers (students and adults) with full names
on school or club letterhead which is acceptable identification
for groups travelling with Virgin Blue.
Important *** Anyone travelling on a non-Australian
or non-NZ passport please let us know immediately as
you may require a visa for entry into Australia.

Team managers will be informed by Worldsport
of the accommodation venue and specific room allocations
well before this date. However, it is each team
manger's responsibility to email or fax through the rooming
list directly to the manager of the accommodation venue. |

Permission
to Tour Letter (Rugby Only) .. Due on or before this

To gain approval
from the Australian Rugby Union for Permission to Tour
Australia, your club /team/school will be required to
submit the following documentation to the Australian
Rugby Union (either via National Union or directly to
the ARU):
1. Written approval for Permission to Tour via your
National Union (this must be on official National Union
letterhead), and
2. A complete Tour Itinerary outlining ALL MATCHES TO
BE PLAYED (including age grade of touring team (eg:
U12's), opposition team/s, dates, and venues.)
Only upon receipt of the documents as outlined above
will the ARU contact the relevant State Union(s) within
Australia for their approval.
If the State Union(s) have no objections, the ARU will
sanction approval for Permission to Tour and send confirmation
(in writing) to your National Union (and the club/team/school
if submitted directly to the ARU).
Please do not leave this to the last minute, as the
process will take some time. Note: If approval to tour
is not received prior to the arrival in host country,
the National Union may not sanction games to be played
in their union.

Carnival
Dinner Performance Items |
Performances by various groups at the Carnival
dinner are highlights of the evening (usually!).
If any person/s from your tour party would like to perform
an item at the Carnival dinner they may like to start
rehearsing now. In the past, we have had dance routines,
guitarists, singing solos, hakas, cultural displays etc,
Anything goes! We intend to make mention of the
teams performing in the Carnival program and would like
to have at least the names of the groups performing by
this date. |

person attending the Carnival dinner has any special food

CONDITIONS
AND REFUNDS |
Amendments
• Amendments must
be made in writing – no exceptions.
• As changes often
involve a significant amount of time to amend and recost
the tour, we reserve the right to charge an amendment
fee for each change requested.
Refunds
Refunds as per the following:
• $60.00 per person airline deposit will incur a 50% cancellation
fee if entire group withdraws. Worldsport will absorb airline
deposit cancellation fees for up to a 25% reduction in group
numbers.
• Until 1st February
2009 - Carnival deposit and Confirmation Payment are
refundable.
• After 1st February
2009– Deposit and 50% of Confirmation Payment
will be forfeited. Airfare and accommodation refund
only as per individual airline/property policy.
• After 1st June
2009– Airfare and accommodation refund only as
per airline/property policy.
• After commencement
of travel – No refunds under any circumstances.
Administration fee of 10% applies to all refunds.
Cancellations
Cancellations MUST be advised in writing.
Payment Details
• All cheques to
be in Aust dollars, payable to “Worldsport Pty
Ltd”
• Payments must be
paid in accordance with the table below.
• Costs in Australian
dollars. Delays in payments may result in airline seats
or accommodation being cancelled.
